Listing Search

Quickly search all of your internal Sale and Lease listings. Use the filters to find the right listings for your clients, and download PDF summaries and email them to your prospects.

The sale search is performed using the fields from listing and property.

The Lease search is performed using the fields from property and spaces objects.

Accessing the search bar

Click on the Listing tab in your Apto org to get to the Listings home page. The search bar is embedded in the home page just above the recent listings section.

Note: With admin privileges, the search bar can be customized to display different filters than the default ones. This is covered in a different article.

 

The search bar has two sections.

  1. The record type selector which allows you to select either For Sale or For Lease.

  2. The filters that change to sale related or lease related fields based on the selection from step 1. These fields and their order in the search bar can be customized from Apto settings tab.

Search Seller Representation Listings

 

To perform a search on all the available for Seller Representation listings, enter values in the filter fields and click Search Listings.

Search Landlord Representation Listings

 

To perform a search on all the available for Landlord Representation listings, enter values in the filter fields and click Search Listings.

Changing the number of listings per page

The search results can be displayed at 5 or 10 listings per page.

  1. Click the Listings Per Page at the bottom right corner under the map section.

  2. Click the picklist to select either 5 or 10. Once a selection is made, Apto memorizes it for future searches. Show 10 Listings 1.jpg

 

Sorting the results

  1. Click on the Sort By picklist under the search bar.

  2. You can sort the results based on

    1. Price

    2. CAP rate

    3. Created date

    4. Last modified date

    5. Listing name

Select and view selected

  1. Once you have the results displayed in the fashion you wanted, you can click on the “Select” button next to each listing to memorize the listing.

  2. Click on the “View Selected” button on the top right under the filter bar to view only the selected items.

Download Selection to PDF

  1. After selecting all the listings needed, you can download it to a pdf by selecting the “Download” button on the top right corner under the filter panel.

  2. The pdf preview is opened in a new window.

  3. Save the pdf in a prefered location.

Email PDF to contacts

There is an option to email the selection directly to your contacts.

  1. After selecting the listings you are interested in, click the Email button on the top right corner under the filter panel.

  2. Provide To address. Note that you can add multiple contacts to the To list.

  3. If you don't want your contacts to know other contacts in the To list, use the BCC field to hide the recipient’s email addresses.

  4. Once the email is sent, an activity is recorded under the contact which allows you to keep track of all the listings a particular contact is interested in.

  5. Note that the email is sent from native SF email function and not any 3rd party marketing tool added to your org.
